Update Spreadsheet Weekly: Check new members and cancelled members, check PayPal and Stripe, update spreadsheet. Make sure the number of accounts on spreadsheet is the same as active accounts on PayPal and Stripe. Add all info, including Founding Member or not, amount paid and how. Add addresses and phone numbers for new members.
More Spreadsheet Stuff: Go back to filed sign up forms and enter in addresses and phone numbers. Then email members to get the rest of the addresses (no need to ask for phone numbers) with this email: Hello (NAME), My name is Denica, and I am Brian Yosef Schachter-Brooks’ assistant for Torah of Awakening. Can you please send us your mailing address so Brian Yosef can write you by snail mail? Thank you, Denica.
Google Calendar: Monthly: Look ahead three months through all courses and calendar events and make sure they're all on my Google Calendarand make sure there aren't things that shouldn't be there. Let Brian know if you find problems.
Website calendars updating: Update pages: Online Community (under “Community”), TOA Southwest, TOA Bay Area, Calendar, Members Portal. Be sure to put in all upcoming Iyun Ayin dates that will happen before the next time you come in – thanks!
Aweber/Active Campaign Emails:
Create and set broadcasts for upcoming Iyún Ayin for both the Membership Lists and the Tucson Lists, and sometimes the Bay Area list. Use Aweber only until we know the Active Campaign Member list is totally correct.
Create and set broadcasts for upcoming Wednesday night workshops/practice sessions for Ruakh and Neshamah lists.
Indexes: Update both indexes with latest Weekly Torah and latest Membership Lessons Episode.
Facebook: Look Ahead One Month for special events and create Iyún Ayin events every week for upcoming Iyún Ayins and invite “friends” in “Tucson” area. Also, for special events in other locations such as Bay Area and other places, create events one month in advance. If in the Bay Area, invite Oakland friends.
Clipboards: Look ahead to see when Brian will need clipboards. If there is a fee for the workshop, he needs the sheets that mention the fee and needs envelopes with it. If not, then use other sheets and no envelopes. Get them ready for Brian to take.
Once Per Month – Failed Payments: go into Stripe, click on Payments, then click on Filter, and then check only "failed." Then see if any payments failed, and let me know- thanks!
Musician Scheduling: After every Bay Area trip, email all musicians to confirm the next scheduled Shabliss services. Include the dates of all the ones coming up and cc me so I can follow up if someone can't make something. You can write something like this:

LESSON IN PRESENCE- Membership Teachings and Weekly Torah:
First, create “new post,” for Weekly Torah. Title it by the Parshah name, then put text: Coming Soon... Underneath, put: More on Parshat _____ (whatever the parshah is) then paste in all the past years posts. Edit to make make sure it looks right, same size fonts, take out extra things like "more on parshat..." from last year.
Then, create “new post, for Membership Lessons in Presence, using another tab to see old post to copy things over and to see the format. Change episode number to the next number, and get rid of the other title words. Get rid of all the extra words in other places, and put in NEW words that Brian gives you for Zekher Remembrance Phrase and chant words near bottom.
Embed video or videos.
Using Brian's computer, make audio versions of the videos with one of these:

Put new Membership Lessons in Presence in the Index, and new Weekly Torah in the Parshah Index. Finally, when I finish the Weekly Torah, copy all the text into a Word doc, clean it up. Put in header: Torah Teachings on Awakening by Reb Brian Yosef Schachter-Brooks. Put in footer: www.TorahOfAwakening.com. Then, put it at the top of the Weekly Torah post.
Aweber: create Lesson in Presence Aweber email on TOA Basic Membership list, and Weekly Torah email in Torah of Awakening Community list. Let Brian know so he can check them.

BOOKING – hold off on booking for now.
Booking: Send email to synagogues in Arizona, follow up every two weeks for two months. If they respond, make sure Brian follows up with them and books date. Put dates in calendars.
More Booking: do the same with other possible organizations: Unity churches, Unitarian Universalist Churches, check yoga centers and meditation centers to see if they have visiting teachers- some do, some don't.
We are going to use this for Shabliss. I want to have 3 prices for tickets: non-members, members, and Bay Area Supporters. For members and Bay Area supporters, they will need to have a special code, so we have to earn how to have this all set up. Feel free to contact them for tech support, and text me to ask me anything as you go along.
Then, put events in my google Torah of Awakening calendar called “Bay” that go from Thursday to Monday, and make sure they are labeled as “busy.” Some of these should already be in there.
Active Campaign: Tag everyone either PayPal or Stripe or Offline Payments or Free, and also amount paid in the notes of all members. Make sure all members are ALSO on the Torah of Awakening Community list. Put all info (except free members) in spreadsheet too. When you find a member who is not paying anything in Active Campaign, check Aweber to see if they should be free or if they should be removed from membership.
Get addresses from all members by email, input on spreadsheet.
Make new Thank You Card Spreadsheet and share with Brian and show Brian how to input info. Put Name, Address, Reason for Thank you, Date Added, Date sent.
Research for how to get curtains for my office. Maybe there are companies that come and do the whole thing? Or do it ourselves? I want curtains across whole window, two layers: Same color as couch on inside, black on outside, that open and close separately so I can make the black or the white visible in the office.
